Planning a Wedding Day Timeline // 5 Tips for a Smoother Wedding Day and Better Pictures!!!

In an effort to educate and help my clients, I’ve written a few tips for brides to have better wedding day photos.  Some ideas are simple and some you’ve never thought of!

The wedding day timeline is definitely something that causes lots of stress for brides…..they’ve never done this before so why does EVERYONE want a timeline of the day from them?  Everyone needs to know when to bring the flowers, the cake, etc.  All your family wants to know when they need to be there.  Your bridal party is clueless about when they are supposed to be where and for what.  Communication is key here, not only with everyone involved in the wedding but also with your photographer!  The timeline is the number one thing brides call me about when their wedding is about a month away, I’m pretty sure those are the calls of frustration after anyone and everyone has just gotten done hounding her and she just says “I don’t know……let me call the photographer”.  With that said I would love to help alleviate some stress and provide you with what we recommend for timelines.  Please remember EVERY wedding is different and each couple values certain things over others so your timeline could be quite different……that’s ok!

5 Tips for The Wedding Day Timeline

 

1.  Better photos results first and foremost in booking your photographer for the appropriate amount of time!  Photographers have packages with hours ranging all over the place.  We often get inquiries for weddings from 2 to 10 hours!  Our packages start with 4 hours up to 9 hours.  Typically a 4 hour wedding seems to be on a non-Saturday or off season day, 100 guests or less, small bridal party (1 or 2 attendants on each side), and usually a short reception with cake and punch.  A good example would be this Bell Gable wedding with Amanda and Steven.  5 to 6 hours is considered the standard coverage time for a Saturday,  modest bridal party (3 to 5 attendants), basic wedding and reception.  See Amanda and Cade’s Cooper Chapel wedding here.  7 to 9 hour packages are built towards the weddings that are elaborate and full of little details, larger bridal parties (6 or more attendants), and those couples planning to have a PARTY at their reception!  London and Darron’s wedding at the Little Rock Club is a great example!

 

2.  An average amount of time suggested to capture your details before you get dressed of your shoes, dress, garter, jewelry, bouquets, rings, programs, invitations, location details is around 30 minutes.  First look and couple portraits averages to about 30 -45 minutes, along with bridal party, and family portraits.  We also like to have everyone photographed 30 minutes or more prior to the ceremony start time first so that the guests arriving won’t see the bride, second to give time for everyone to freshen up, and thirdly this time allows us to capture all the details of your ceremony/reception location and regroup.  Also regardless of if you plan on having a first look or not we are going to suggest taking about 15 minutes just before you walk into your reception for some more quick couple portraits depending on the daylight (that hour before sunset) we might come ask you to leave the reception for a bit and sneak outside with us!  If your photography time is going to run out before your reception is planned to be over may I suggest considering what your last image of the night will be.  You have an option for a faux “grand exit” just to get the shot and you can head back in and party (I’ll be honest unless you have an AWESOME dj I haven’t seen this work except once).  You could also just plan a slow dance and we can capture your last moment for the night as you two dance arm in arm.  Another suggestion is heading outside and snapping a couple portrait outside your reception venue.

 

3.  Consider having a FIRST LOOK.  I understand wanting to hold onto tradition and make the groom wait until you walk into the room to be the first time he sees you that day, let me say I understand and I respect that decision.  I have shot many weddings both ways and they turn out perfectly.  But before you finally make that decision there’s a few things I want you to think about.  First I want to make sure the knowledge behind the tradition is known, often times when my couple’s hear this the thought of seeing each other before becomes a much easier decision to make, in the days of arranged marriages the groom was forbidden to see the bride before the wedding in the case he thought she was unattractive and bailed…..obviously we aren’t dealing with that problem these days!  Most of the time when you hear photographers and wedding vendors chatting about the first look it pertains mostly to making the day easier, getting the family portraits out of the way, or not having your guests wait at the reception.  There’s lots of options to solve those problems such as booking more coverage, having a short family portrait list and doing as many as you can before the ceremony and finally hosting a cocktail hour for your guests to refresh and mingle.  But here’s the kicker I’ve heard from many of my brides after they decided to go with having a first look……”I just love our reactions in those photos!”  Most of the time the biggest concern is capturing the grooms first glance at you if you plan not to see each other, now unless you have an over the top emotional groom or one that’s very dramatic our shots are mostly going to look like he’s standing there staring at you blankly.  No one wants that.  Everyone wants the true emotions captured.  Below is a great example of the brides reaction, the love and comfort they felt holding and hugging along with the groom’s awwwww as he takes a moment to access his beautiful bride.  9.8 times out of 10 a first look gets to be in a more controlled environment yielding better images along with real emotion since you actually get to talk, kiss, hug, and be comfortable, unlike at the altar.

4. I recently shot a wedding in England (oh boy was that fun and after 3500 images I’m still working on them!) and the whole day was all about the wedding which gave us lots of time in-between each break to take more couple shots!  The couple chose not to see each other before due to the fact that they weren’t worried about having time for portraits.  Following the ceremony we went outside for family portraits and bridal party portraits then ventured off for some couple shots.  The guests were all outside the grounds mingling and enjoying a cocktail hour while the event staff was preparing for dinner.  Once the couple was introduced and made their way to their seats the toasts were given and dinner was served.  Soon following dinner we arranged that the couple would sneak off for some more portraits oh boy am I glad we did!  The guests were invited to the the foyer to watch the couple cut the cake while the event crew set the dinner hall up for the second dinner.  After they cut the cake the guests mingled and enjoyed the sunset outside, as did we, as we snuck off again for some awesome sunset pictures!  Then back to the dinner hall for fish and chips and a whole lot of dancing!  Obviously they do things a bit differently in England but the idea that we ducked out for pictures three times during the day was genius!

5.  Always plan for some smudge room!  I’ve learned that it’s likely that someone will forget their suit coat at home (which just happens to be 30 minutes away), a bridesmaid will get lost, there’s a dress malfunction, or the videographer is MIA, so always be prepared for unexpected events!  Along those same lines I’ve learned everything seems to work itself out and the show must go on!  If you’ve planned some extra time and something unforeseen like this comes up you’ll be able to seize the moment, sit back, relax, and enjoy your good company!

Elizabeth and Andrew // NW Arkansas Engagement Portraits

Hey, Donnally here! I’m a new intern for Erika Dotson Photography, find out more about me here.

Meet Elizabeth and Andrew, a ridiculously cute couple! Erika threw me a camera, and I started snapping pictures… a great way to learn the ropes! Erika gave me a ideas for themes, I chose a first date theme for the couple because I thought it would be perfect for them. It was a fun shoot, complete with cupcakes from Bliss Cupcake Cafe, balloons, and lots of laughter. We shot the mini-session with them in downtown Fayetteville. Elizabeth and Andrew, recently engaged, were great to work with!

Bliss was a cute place to begin the shoot, owner Shelley Cassar, was happy to have Bliss as the set for the first date theme.

Alyssa and Seth // NWA Wedding Photography at Pratt Place Barn

Hey there everyone!  I know I’ve disappeared off the face of the earth for a bit but I’m coming back in full swing!  Alyssa and Seth were the winners of our contest we held nearly a year ago at the Democrat Gazette Bridal Fair in Rogers.  If you remember there was a whole lot of people following what was going on.  I had the participants submit a letter explaining them as a couple.  Then we selected a few participants to take a picture with their fiance and incorporate Erika Dotson Photography into the photo somehow.  It came down to two girls and I had the opportunity to meet with them and I chose Alyssa and Seth as the winners of the Free Wedding Photography package.  I am certain that was the right choice as well!  Alyssa and Seth were perfect and glowing on their wedding day.  Their special day was something out of the ordinary as well which was another reason I chose to volunteer my time and talents in their behalf.  Alyssa and Seth both lost their father’s in a relatively close time period and decided that there was no other day that would honor them as much as Father’s Day.  These two set themselves aside to commemorate their amazing father’s.  I hope through these images you can see that same selfless beauty that I saw the moment I met Alyssa and Seth.

This is one of my favorite images of the day!  Seems silly I know, but just take a minute to look into the photo.  This image tells a story.  You’ve got the bride making last minute preparations before her finally gets her dress on, while mom and maid of honor are carefully getting her dress ready for it’s big debut.  This is a beautiful photograph!!!!

At their reception Alyssa and Seth set up this beautiful little table to make Father’s Day cards.  It was such an original and cute idea!  Pictured above is Seth’s father on the left and Alyssa’s father on the right.

Today is the last day for this color theme we’ve been featuring and the final color is…….

BLUE!  (saved the best for last! ) – if you haven’t figured it out just yet BLUE is my favorite color!  :)

These are darling shoes and would be your perfect “something blue”!!!!!  Just think BLUE shoes!!!!  YES!!!

What a simple cute little bridesmaid dress!  This is also from J.Crew (if you haven’t browsed through their wedding portion of their site it’s a must!)

I just love this simple blue bouquet!  Pretty sure these are grape-hyacinth flowers.

Parasails are in this year ladies!  Take the plunge….. invest…….tell your photographer…….get great images!!!!

I love these blue guest cards!  I love guest cards in general!  What a great detail to add to your wedding!!!  We photographers love love love details!

This blue ribbon is just too too adorable if you aren’t bold enough to go with blue shoes for your “something blue” I love this tradition of the blue bow tie or sewn into the dress!  TOO cute!  Be sure to tell your photographer if you go this route!

These are just too too cute!  Little packets full of rice (I know I know rice kills birds yada yada yada) But they still look cute!  Maybe if you worried about that you could fill yours with confetti or something?

3 Engagement sessions to edit, 1 senior session to edit, a wedding to backup and start editing, and a bridal shoot this afternoon!!!  What a busy busy day/week!!!  I love it though!

Alright I love doing this and while I missed the actual Monday mark, I’m posting it anyways!

These ice lanterns are a total do it yourself project for anyone planning a winter wedding!  How cute!!!

You need two buckets, one smaller then the other.

Some greens, I love to use olive branches.

Fill the biggest bucket half full with water.

Place the smaller bucket inside it and place some rocks or something heavy to keep in in place.

Add more water, the water level should be to the top.

Add your branches to the sides of the bucket.

Use some tape to keep the small bucket in the middle of the big one.

Now set the whole thing outside to freeze.

Once its frozen, remove the small bucket first and then the large one.

You now have a beautiful ice lantern.

Place a votive candle inside and voila, the party can start.

What a cute idea!  And just for all you brides, details like this make your wedding rock that much harder!!!  Photographers love little details!

I love how they pulled these centerpieces together!  I usually get stuck in that rut that these centerpieces things have to be super fancy, but these are totally cute and another DIY!!!!

Steps for a Full Wrap Treatment
Step 1:Measure paper around the vase. Leave about 1″ on the neck for a ribbon treatment.
Step 2:Cut the paper. Adhere one edge of the paper to the glass with glue dots. Wrap the other side around and secure with more glue dots.
Step 3:Cover the top rough edges with a grosgrain ribbon.

Steps for a Middle Band Treatment
Step 1:Measure paper around the vase.
Step 2:Cut first band to measure 5″, second to measure 3.5″.
Step 3:Stick first wrap to the vessel with glue dots. Layer on the 3″ band,again using glue dots.
Step 4:Top it off with ribbon treatment.

Anything personalized is super cute but these are adorable.  If you planned on a wedding in the summer and thought of these fans think how much your guests would love to have this keepsake!!!

I saw these at Forever 21 and instantly thought they would be perfect for a stylish bride!!!


This idea struck me as an important one for all couples planning a wedding.  I like to ask “what is your photography budget”, and I usually get this response “well we really haven’t thought about it” or “we don’t really have one”.  My first piece of advice for you is make one!!!  It will be the most important thing you do to keep your wedding costs down and be able to get what you actually want.  Wedding expenditures add up and quickly but if you are prepared with a budget that will help.  Also it’s a great idea to start budgeting together as a couple, since now you’ll probably have some sort of a joint account.  This website isn’t just geared toward weddings either but it’s a great way to keep track of what you are saving!  Be sure to check it out smartypig.com

Ok maybe you are now intrigued by my title, but I honestly don’t know where this post is going.  I am going to just play it by ear, hopefully it’s not too too much rambling for you.  TW and I went to church as usual on a Sunday then we went out to the inlaws, as usual.  I was not too happy about having to work at 6pm to do inventory until midnight, which obviously if it’s 9:42pm right now they let me come home early!!!  Anyways so TW had to drive me back down to my car, since we weren’t about to take the new car on the inlaws dirt road.  The two youngest little girls, TW’s sister, Tracy’s kids, wanted to come with us, so obviously being the super cool aunt and uncle that we are said sure but go tell your mom.  Laycee the middle aged girl got to sit in TW’s lap first and steer.  I do remember the days of getting to steer, aww what fun those days were!  While that was happening Kynlee, the youngest girl was telling me how she needed a seatbelt and I said don’t worry about it we’re only going down the dirt road it will be ok.  This little girl was totally determined to wear her seatbelt!  She didn’t quit at it until she got it unstuck from the seats!  Her mom would be so proud!  Well they dropped me off at my car and I said hang on don’t leave I want to take my self portrait with all you guys.  I went to my car, got my camera and shucks……my battery died right there!  I was pretty bummed.  So we all said our goodbyes and I headed off to work while Kynlee got her turn to steer down the road.  Maybe I do know what I’m going to write about now………  isn’t it funny how excited little kids get about something us big kids take for granted when they get an opportunity to be big?  My picture today was taken with my phone of me steering my way to work.  I do enjoy driving but certainly not as much as those two little ones!

So I challenge you guys to all find something that you take for granted  that you once were told you weren’t “big enough” to enjoy!  And I want to hear about it!   :)
